Using directDART

Double-click one of the imported Data Request templates for directDART in the Run or manage Favorites task in SmartExporter to open it.

In the Quick-Filters step all fields which are available as Quick-Filters are listed. Whenever possible, please enter filters via the Quick-Filters.

Below is a list of specific details which have to be considered regarding the different Quick-Filters and filter fields when using the Data Request templates for directDART:

/AUDIC/TXW_SELECT structure:

In the current implementation SmartExporter uses the /AUDIC/TXW_SELECT structure to apply the corresponding filter conditions to all segments as opposed to, for example, database tables. The filters of the /AUDIC/TXW_SELECT table are automatically filled by the Quick-Filters defined in the Data Request templates. Please do not discard this structure because otherwise the filters cannot be applied and a message will be displayed in SmartExporter during the verification of the Data Request, indicating that filters are missing.

Moreover, some of the filter fields are mandatory, e.g. S_BUKRS. If a field like that is selected as a result field or a mandatory filter field is missing, the verification of the Data Request in the Fields and Filters step fails and a tooltip indicates which of the fields has caused the error.

The following fields of the /AUDIC/TXW_SELECT structure are to be used only as Quick-Filters or filter fields:

Name of Quick-Filter Field name (field description) Note
Company Code S_BUKRS (Company Code)
Fiscal Year P_GJAHR (Fiscal Year)
Period Period S_MONAT (Fiscal Period)
Ledger P_RLDNR (Ledger)
Language Language P_LANG (Language Key)
Depreciation Area Depreciation Area S_AFABE (Real depreciation area)
Flag: “Export master data transaction dependent" P_TRA_MD (Flag: Export master data transaction dependent) If this flag is set, only master data which are referenced in transaction documents are extracted. This may significantly reduce the data volume if the company codes refer to small accounting areas. If no entry is made, all master data are extracted.
Reference date for master data P_REFDATE (Reference date for master data)

The DSAG (Deutschsprachige SAP®-Anwendergruppe), an association of SAP® users in Germany, Austria and Switzerland, recommends that DART extracts be created in a timely manner. For that purpose please enter the date for which you want SmartExporter to calculate the master data values. This may lead to a longer extraction time.

Flag “No master data after reference date” P_REFDELNP (Cleanup master data)

If you set this flag, master data which were created after the reference date for master data (P_REF_DATE) will not be extracted.

Changes to P_CD_ENDDATE (Changes to)

For segments which contain change documents for an object class, e.g. TXW_CD_ANLA, TXW_CD_DEBI, TXW_CD_KRED and TXW_CD_SACH, the change documents from several years have to be extracted. For that purpose please enter the date up to which change documents are to be extracted here. This date may be identical with the reference date for master data (P_REF_DATE).

The extraction of these segments has to be run only once. Therefore it is sufficient to extract the segments e.g. when extracting the data for the first fiscal year.

Country key

P_ALW_COUNTRIES (Permitted country keys for company codes)

When selecting company codes with various country keys (Table T001-LAND1), you can use this filter to pass on a list of permitted country keys.

To allow all country keys, you can enter the value '*' for the P_ALW_COUNTRIES filter in the "From" field. If the filter is not defined, the program automatically checks if the same country key is defined for all selected company codes.

Not available as Quick-Filter

P_XCHKS (Flag: Calculate Data Checksums)

Set this flag if you want the business checksums to be calculated. Please also refer to the explanation on the /AUDIC/TXW_CONTROL_TOTALS structure. In the Data Request templates this flag is set by default.

Not available as Quick-Filter P_FIOP_FROM (FI open items from Archive since)

In order to access archived data, please enter a year here so that SmartExporter considers only the open items from that year on. This reduces extraction time.

Not available as Quick-Filter P_TXWCOMPAT (DART compatible output)

If you set this flag, tabs, quotation marks and semicolons will be deleted from text fields similar to DART.

Since the flags for "Statistical CO document items" (P_COST), "Billing document pricing conditions" (P_KONV) and "Change the sign for returns" (FLAG_BI_SIGN) are set by default in the SAP® DART implementation, these Quick-Filters included in the previous version of this Data Request have been removed and set as filters for /AUDIC/TXW_SELECT instead.

/AUDIC/TXW_CONTROL_TOTALS structure:

The /AUDIC/TXW_CONTROL_TOTALS structure contains business checksums. The values are determined by adding up the relevant segment fields.

Checksums are calculated for the different fields, grouped by Account Type (KOART) and Debit/Credit Indicator (SHKZG). Here is a description of the checksums, which are calculated for the individual fields:

  1. BETRAG: Sum of the TXW_FI_POS-DMBTR segment field
  2. BETRAG_GLT0: Difference between ending balance (HSLVT1) and beginning balance (HSLVT) of the TXW_BBACC segment
  3. ANZAHL: The number of documents of TXW_FI_POS taken into account
  4. BETRAG_NGL: Sum of the TXW_FI_NGL_POS-DMBTR field
  5. ANZAHL_NGL: The number of documents of TXW_FI_NGL_POS taken into account

/AUDIC/TXW_RESULT structure:

The /AUDIC/TXW_RESULT structure renders the extraction time and the number of records for each of the segments extracted. This structure should always be selected because otherwise temporary data created on the SAP® system will not be deleted.

When using the Data Request templates for directDART, please note the following:

  1. As the extraction of DART data often results in large data volumes, we recommend using asynchronous extraction.
  2. Flags for the Quick-Filters or the filter fields are set by entering an X as filter value. If you do not want to set a flag, please leave the field empty.
  3. Please also note that there are interdependencies between the different DART segments. Some of the segments can only be extracted after certain other segments have been extracted within the same Data Request.

Example: The FI document headers of the TXW_FI_HD segment are required for the FI document items of the TXW_FI_POS segment. You cannot extract the TXW_FI_POS segment as long as the TXW_FI_HD segment has not been extracted.

Because of these interdependencies, you have to extract the segments in a particular order when using synchronous extraction. Therefore please use the pre-defined Data Request templates, in which the correct order has already been implemented.

If the data are extracted asynchronously, the segments in the SAP® system are automatically processed in the correct order. In that case, the selection order is therefore irrelevant.

Using the "Verify" feature

Use the Verify feature in the Fields and Filters step to check whether the Data Request can be run.

If the Data Request can be run, the tables and the selected fields will be marked with a green icon.

If the Data Request cannot be run, the tables or fields will be marked with a red icon. If you place the cursor over one of the red icons, a tooltip will provide a brief description of the error.

Using the "Check size" and "Preview" features

Due to the above-mentioned interdependencies between the DART segments in the SAP® system, these features in the Fields and Filters step are currently unavailable.
