Linking to MS Word and Excel

Problem:

I will be linking balances from my Working Papers client file to my existing Excel and Word statements. How can I tell the difference between regular numbers I previously entered from the balances entered by converting a linkage from Working Papers? During the process of converting I may have to step away and may not always know where I left off.

Solution:

There are a couple of options depending on the circumstances. In a simple case, for both Word and Excel, you could mark each linkage in a different color. After making a linkage click on the Font color button to change it to a different color. When you finish linking balances select the whole document and change the color back to your firm standard.

In Word you have the additional option to shade special fields similar to the Connector linkages. From within Word select the Tools menu and choose Options. From the View tab change the dropdown item under Field Shading to always.

In Excel, there is a feature to Track Changes. If you are only converting balances to a Connector linkage, this feature would mark every cell depending on options you select. From within Excel select the Tools menu, select Track Changes and click on Highlight Changes. Check off the options to Track changes while editing and to Highlight changes on screen.
